Getting started
Who are you? Start here
Three ways in, depending on your job. Nobody has to read the whole page.
People running ads
You’ll be working inside your AI, giving instructions. Read about the approval gate first — it’s what makes this tool different from a bot running loose. Then connect AdPilot to Claude, step by step.
When AdPilot adds new tools, Claude only sees them after you reconnect — here’s how.
Agency owners
You decide who can do what. Read organisations and roles, then how billing works.
Accountants
You need invoices that are right. Go straight to VAT invoices — entering buyer details and when invoices are issued.
Core concepts
Accounts, organisations and roles
Products aren’t granted to a person, but to an organisation. This is the most common misunderstanding, so we’ll say it first.
| Concept | What it means |
|---|---|
| Account | One person, one email. Sign up with an email or with Google. |
| Organisation | Where product access, plans, invoices and connected Google Ads accounts live. Everyone who signs up gets their own organisation automatically — and you’re its owner. |
| Product access | Granted per organisation × product pair. Add someone to the organisation and they can use its products, without asking for access again. |
Three roles in an organisation
Owner
Can edit invoicing details, order plans, and decide who joins the organisation.
Approver
Approves or rejects proposals before they touch an ad account.
Operator
Gives instructions and creates proposals, but can’t approve their own work.
Organisation roles are separate from platform roles. ALFA administrators run the platform — they have no approval rights inside your organisation.
Approve before writing
The approval gate — and why there’s no shortcut
Every change takes exactly one path, with no detour for “urgent orders”.
| Step | What happens |
|---|---|
| 1 · Propose | The AI drafts the change and says exactly what it intends to do, on which account. Nothing has touched Google yet. |
| 2 · Pre-check | The change is checked against ad policies and against the account’s actual state right now. |
| 3 · Approve | A real person approves or rejects it. If nobody approves, the proposal touches nothing and expires on its own after 24 hours. |
| 4 · Apply | This is the only place in the whole system that writes to Google Ads. |
| 5 · Undo | If it’s wrong, you can roll it back — and know exactly what’s being rolled back. |
Why a single door. With two write paths you have to guard two places, and the one nobody watches is the one that breaks. A single door is easy to guard, easy to log, and when something goes wrong there’s only one place to look.
Task guide
Plans, limits and how billing works
Billed by tool call, not by AI token. AdPilot’s price tiers follow the number of Google Ads accounts you choose to manage — accounts AdPilot finds in your MCC that you don’t choose aren’t counted. For teams, price and limits scale with headcount — see AdPilot pricing for how.
- Order a plan in the members area → the system issues a payment order with its own payment code (for example
HD2026000013). - Make the bank transfer and put that exact payment code in the description — written as one word, no dashes. If it’s wrong, ALFA still gets the money but can’t tell which order it belongs to.
- ALFA reconciles it and activates your subscription. Renew early and the new period follows on from the old one, without cutting off what you have left.
Invoicing
Getting a VAT invoice
Vietnamese VAT e-invoices, issued through VNPT. Three things to know up front, and the first matters most.
1 · Fill it in before you pay
Go to Invoicing details in the members area, tick the box saying you need an invoice, then enter your company name, tax ID and address. ALFA issues the invoice with the details on file at the time of issue — fill them in after it’s been issued and the old invoice has to be cancelled and redone.
2 · No tax ID? You can still get one
Individuals and household businesses leave the tax ID field blank. A name and address are enough.
3 · Issued once paid in full
A part payment doesn’t trigger an invoice yet. Once you’ve paid in full, ALFA issues it and records the invoice number in the system — you’ll see it straight away under Invoices, with a lookup link.
Change your details after an invoice has been issued and the old invoice keeps the details it was issued with — it has already gone to the tax authority, and editing the record here doesn’t change it.
Referring customers
Affiliate program
Every account with a product can create a referral link in the members area. Anyone who reaches ALFA through that link and opens an account is credited to your organisation.
- Both first touch and last touch are recorded, with a 30 day window.
- The organisation must be created after the first touch — nobody can claim a customer ALFA already had.
- Commission is 20% for life, earned when the customer pays an invoice in full.
Straight talk
What isn’t in these docs yet
Because what it would describe isn’t running yet. We don’t write guides for features that don’t exist.
| Not here yet | Why |
|---|---|
| Listing your own product on the shelf | The shelf isn’t open to outside sellers yet. ALFA has set itself a gate: three of its own products running for real first. |
Can’t find what you’re looking for?
These docs are still thin because the product is still new. Asking is faster than reading — and your question often becomes the next section on this page.
